IYSA COORDINATOR (RISK MANAGEMENT, INSURANCE AND IYSA)
Risk Management
- Collect IYSA Disclosures
- Collect WAYSC Code of Conduct Forms
- Maintain annual records as required by the IYSA.
- Perform Background checks on volunteers
- Complete the Organizational Statement of Understanding and Agreement (Kid Safe)
- Send the Organizational Statement of Understanding and Agreement to member leagues (IWSL, YSSL).
- Provide information and training to volunteers on appropriate behavior and ways to protect youth and themselves.
- Identify areas of risk and work to reduce the risks.
- Work with facilities to comply with their Risk Management requirements.
Insurance
- Request Certificates of Insurance through IWSL, YSSL (new leagues)
- Request Certificates of Insurance from IYSA for all facilities
- Maintain record copies of the Certificates of Insurance
- Mail Certificates of Insurance to the Certificate Holders
- File Incident Reports with IYSA.
- Understand our insurance as provided by IYSA and use this information to implement policy within the Club.
- Assist families when filing for secondary insurance through IYSA.
- Handle any claims by our facilities as covered by our insurance.
IYSA
- Collect and provide player databases in fall and spring
- Collect and provide coach databases in fall and spring
- Collect and provide board member databases in fall.
- Provide registration payment, $3 per player, to IYSA.
- Provide insurance payment, $4 per player, to IYSA.
- Provide member club registration, $200 per year, to IYSA.
- Use IYSA as a resource.
- Provide an interface for IYSA
- Send the Organizational Statement of Understanding and Agreement to IYSA.
- Maintain club records with IYSA.
- Adhere to the following timeline
Coach Clinics
- If desired, arrange for coach clinics to be provided by the IYSA in Wauconda facilities
- Disseminate information on coach clinics and referee clinics available through the IYSA.
IYSA Coordinator Annual Timeline
June
- 1-15: Review records and store properly.
- 1-15: Update job description, reference materials, forms, and passwords.
- 15: Transfer job description, reference materials, forms, records, passwords, and tools to newly elected IYSA coordinator if appropriate.
July
- 1: Send Certificates of Insurance Request forms to Travel/Select Leagues to be routed through to the IYSA. Usually IWSL and YSSL.
- 15: Send Certificates of Insurance Request forms to IYSA.
- 15-31: Begin collecting IYSA Disclosure Statements and WAYSC Code of Conduct forms for all affected volunteers.
August
- 1-21: Continue to collect IYSA Disclosure Statements and WAYSC Code of Conduct forms for all affected volunteers.
- 1-21: Collect the Coach database from the coordinators.
- 15: Mail the Certificates of Insurance to all Certificate Holders - usually the representatives for all used facilities.
- 10-15: Prepare presentation for Coaches meeting on IYSA, insurance, youth protection, goal safety, and any other risks.
- 21-31: Perform criminal and sex offender background checks on all affected volunteers.
- 21-31: Complete the IYSA Organizational Statement of Understanding and Agreement, aka the "KidSafe" form. Get the PresidentŐs signature. Fax and mail this form to all Travel/Select leagues and the IYSA office.
September
- 1-30: Request the Registrar player database, review, and prepare to send to the IYSA.
- 25: Send payment to the IYSA for the WAYSC club annual fee, player registration, and player insurance.
- 25-30: Upload the player database to the IYSA.
- 25-30: Upload the coach database to the IYSA.
- 25-30: Upload the Board of Directors database to the IYSA.
March
- 10-15: Prepare presentation for Coaches meeting on IYSA, insurance, youth protection, goal safety, and any other risks. Updates only as needed.
April
- 1-30: Request the Registrar player database, review, and prepare to send to the IYSA.
- 25: Send payment to the IYSA for additional player registration and player insurance.
- 25-30: Upload the player database to the IYSA
- 25-30: Upload the coach database to the IYSA.
